What is HIPAA? (security of data)
In 1996, the United States Federal Government enacted the Health Insurance Portability and Accountability Act (HIPAA). The purpose of this act was to increase and further insure the use of technology and the use of digital data transactions to improve the privacy of personal medical information by those handling this data. In addition to insuring privacy of personal data, it was to also help increase the efficiency of the U.S. health care system.
There are two Title’s in this act. Title I addressed the group health insurance liabilities. Something that is not necessarily pertinent to this particular entry,but good information to know should you ever need it.
Title II addresses the concern of preventing health care fraud and abuse and what the liabilities to administration are. We will be addressing this element for those that might need the use of a Medical Transcriptionist.
The HIPPA established many elements of security safeguards that need to be adhered to by anyone handling medical transcription or records. These are in three categories:
- Technical – This covers the element of data transmission and how it is handled by secure transmission and what procedures to implement in case of security. It is provided to the government for approval prior to providing the services.
- Physical – This element covers the physical hardware, accessibility to said hardware and workstation requirements for use and privacy.
- Administrative – Policies and standard operating procedures that will be provided to how they will comply with the act. These include elements of who deals with the records, organization of records, storage of records to disaster recovery of data.
Each of these elements is written down in more detail and can be found under Title II in the HIPAA. ALL Medical Transcriptionist services should be HIPAA approved and compliant. Make sure that if you are dealing with sensitive information that security elements are put into place to keep your documents and information secure, even if you are not asking for Medical Transcription to be done. How do I submit a project?
First you must register, a simple process that requires only two pieces of information and a response to a confirmation email to get started. You can find the link to your right. Once you login with your new registration, you will see a “Submit Project” link at the top of the page where you may submit your projects as you find the needs for our services!
What is meant by audio quality?
The characteristics of an audio file can influence the cost per minute as well as the delivery turnaround time. Traits include background noise, speakers who interrupt or are not near a microphone, echoes, and strong ethnic accents. We will clarify if your audio is considered difficult before we start your project. It can be transcribed, but it takes an extremely high effort and time to transcribe them to make sure that the transcription is accurate. If we find that your audio is too difficult to transcribe, you will be notified prior to beginning the project.

Why do you not provide legal or medical transcription?
Due to security, legalities and privacy policies, we find that it best to keep our costs down for everyone else and let those who specialize in those industries take care of those venues. We can and will recommend those seeking those services should you need them.
Who will transcribe the audio or video and what are the processes involved?
All transcription work is carried out by educated, talented and experienced human beings. We never use and will NEVER use computer based or automated software.
All transcriptions are reviewed by our staff in a three level process in order to provide you with the most accurate and grammatically appropriate manner
Is the price really per minute of audio or video?
Yes it is. We price on the length of the audio/video file our clients send us, hence the billing of “An Audio Minute.”
What payment methods do you accept & When will payment be due?
We accept Credit Cards and PayPal payments. Currently a 50% deposit is required to start the project and the remainder is due upon delivery of the final product.
In what formats are finished Transcriptions delivered?
We can deliver our transcript in one of the many formats but unless specified otherwise, we will send all final products in .doc formats.
How will I receive my transcribed file?
The transcripts will be emailed to your email address. If you have an account with us, you will also be sent a link in which you can download your final product from our secure website. Hard copies can be obtained and shipped to you at an additional charge.
Will You Sign Non Disclosure Agreement OR A Legal Contract?
